The Event Manager will oversee the full lifecycle of event management - from planning, logistics to on-site delivery and post‑event engagement. Key Responsibilities
- Plan and manage the end-to-end logistics for all association events, including vendor sourcing and coordination, catering, AV, and event setup.
- Create and maintain detailed project timelines, checklists, and run sheets to ensure smooth and timely event execution.
- Oversee onsite event operations, including registration, guest flow, vendor management, and troubleshooting.
- Coordinate with internal teams and stakeholders to align event requirements, materials, and schedules.
- Manage communication with speakers, panelists, and VIP guests regarding logistics, briefing materials, and event arrangements.
- Handle contract negotiations, budget tracking, invoicing, and cost management for all events.
- Ensure all event materials (name badges, signage, presentations, collateral) are prepared accurately and on time.
- Conduct post-event follow-ups, including feedback collection, operational reporting, and recommendations for improvement.
- Maintain strong relationships with members, partners, and vendors to support high-quality event delivery and engagement.
Qualifications & Experience
- Bachelor's degree in Business, Marketing, Communications, or related field.
- 8+ years of experience in managing corporate, executive‑level, or association events.
- Proven track record of delivering high‑quality events. Experience with C‑suite or high-level stakeholders is a strong plus.
- Strong project management skills and keen attention to detail.
- Excellent communication, relationship building, and negotiation skills.
- Creative problem solver who stays calm under pressure.
- Proficiency in event platforms/tools is a plus (Eventbrite, CRM systems, webinar platforms).
- Fluent in English, Cantonese and Mandarin is required.
