Job description

Responsibilities

    • Deliver comprehensive administrative support to the team and provide high‑quality secretarial assistance to senior executives.
    • Manage daily schedules for senior management, including coordinating meetings, travel itineraries, and accommodation arrangements.
    • Facilitate internal and external meetings by preparing agendas, presentation materials, and necessary documentation.
    • Assist with data management, expense claims, and the preparation and filing of various documents.
    • Handle tedious, detail‑oriented, and process‑heavy tasks with accuracy and professionalism.
    • Serve as backup support for senior secretaries during their absence, ensuring smooth continuity of executive services.
    • Handle ad‑hoc assignments and participate in special projects as required by management.

Requirements

  • Bachelor's degree in Business Administration or a related discipline.
  • Minimum of 8-10 years of experience in executive-level secretarial or administrative roles within large organizations.
  • Strong communication and interpersonal skills; detail-oriented, well-organized, proactive, responsible, and professional.
  • Able to adapt to changing priorities and work effectively under pressure.
  • Proficient in Microsoft Word, Excel, and PowerPoint, with strong document formatting and presentation preparation skills.
  • Fluent in English and Chinese, both spoken and written.
