Overview
Our client is seeking a seasoned and highly professional Executive Secretary to provide comprehensive business and administrative support to an expatriate senior executive. The role requires exceptional organisational skills, strong business communication abilities, and the capability to handle executive‑level priorities with discretion and efficiency.

Key Responsibilities
Executive Support

  • Provide full spectrum secretarial and administrative support to the expatriate executive, ensuring smooth daily operations.
  • Manage calendars, schedules, business appointments, and travel arrangements, including visa applications and itineraries.
  • Coordinate internal and external meetings, prepare meeting materials, agendas, and take minutes when required.
  • Handle confidential correspondence, business letters, reports, and documentation in a professional manner.

Business & Communication Support

  • Draft, review, and proofread business correspondence, presentations, and documents in English and Chinese.
  • Serve as the primary contact point between the executive and internal/external stakeholders.
  • Assist with the preparation of business reports, briefing materials, and executive presentations.
  • Support the executive in attending business events, meetings, and corporate functions.

Administration & Coordination

  • Maintain organized filing systems, records, and business documentation.
  • Track deadlines, follow up on action items, and ensure timely completion of executive tasks.
  • Liaise with internal departments, secretarial teams, and external partners when needed.
  • Assist with project coordination, research, and administrative tasks as assigned.


Requirements

  • Bachelor's degree in Business Administration, Languages, or related discipline.
  • Minimum 8-10 years of executive‑level secretarial or administrative experience supporting senior management.
  • Strong communication, organisational, and interpersonal skills; detail‑minded, proactive, and professional.
  • Able to manage shifting priorities and work efficiently under pressure.
  • Proficient in Microsoft Word, Excel, and PowerPoint, with strong document formatting and presentation skills.
  • Excellent command of written and spoken English and Chinese.
  • Mature, discreet, and capable of handling sensitive information with confidentiality.
