Executive Secretary | 6 day work

Job description

Key Responsibilities

  • Provide comprehensive executive‑level administrative, organisational, and secretarial support to the Senior Executive, ensuring all tasks are handled efficiently and professionally.
  • Manage incoming calls and correspondence, including reviewing, prioritising, and organising the Senior Executive's emails.
  • Coordinate and arrange meetings, appointments, business engagements, and travel logistics as required.
  • Draft, edit, and finalize a wide range of documents such as letters, reports, meeting materials, agendas, minutes, and internal communications in both English and Chinese.
  • Support the completion and submission of various internal forms and documentation.
  • Assist with monitoring project progress, timelines, and expenditure tracking.
  • Maintain a structured and well‑organised filing and records system.
  • Build and update databases or records for different business needs using spreadsheets or other software tools designated by the company.
  • Prepare presentation decks and materials for the Senior Executive.
  • Carry out additional administrative duties or special tasks assigned by management.


Requirements

  • Bachelor's degree in English Studies, Translation, Commerce, or a related discipline.
  • A minimum of 8 years of relevant secretarial experience, ideally gained from a law firm or professional services setting.
  • Mature, reliable, proactive, and highly organised with a strong sense of responsibility and integrity.
  • A collaborative team player with excellent interpersonal abilities.
  • Strong written and verbal communication abilities in English and Chinese (Cantonese and Mandarin), with the capability to handle correspondence independently.
  • Proficiency in MS Office applications, including Excel, Word, PowerPoint, and Chinese word‑processing software.
