Senior Manager - Office Administration

Responsibilities

Team Leadership
- Lead and mentor a diverse team to ensure effective office operations.
- Foster a collaborative and productive work environment.
Administrative Support
- Manage administrative functions related to corporate governance, including sourcing and procurement.
- Develop and implement administrative policies and procedures for efficiency.
Contract Management
- Oversee and monitor contract management, ensuring compliance and performance.
- Negotiate contracts and terms with vendors and service providers.
Facilities Management
- Ensure maintenance and safety of office premises and facilities.
- Coordinate repairs and upgrades to maintain a professional office environment.
Inventory Management
- Oversee the stock of office supplies, ensuring availability and cost-effectiveness.
- Manage relationships with suppliers to optimize procurement processes.
Vendor Relations
- Maintain strong relationships with vendors, including negotiating contracts and pricing.
- Evaluate vendor performance and identify opportunities for improvement.
Communication and Reporting
- Provide regular updates to senior management on office operations and procurement activities.
- Collaborate with other departments to align office management strategies with organizational goals

Qualifications

8+ years of experience in Office Management, Procurement, or Facility Management.
Working experience in NGO / Public Sector
Proven supervisory experience with strong people management skills.
Excellent communication skills with the ability to multitask effectively.
Friendly and positive demeanor, fostering a welcoming office atmosphere.
Proficient in both written and spoken English and Chinese (Cantonese and Mandarin).
Strong analytical skills with the ability to make data-driven decisions.
Proficient in office management software and tools.
