Senior Manager - Office Administration

Job description

Responsibilities

  • Team Leadership

    • Lead and mentor a diverse team to ensure effective office operations.
    • Foster a collaborative and productive work environment.
  • Administrative Support

    • Manage administrative functions related to corporate governance, including sourcing and procurement.
    • Develop and implement administrative policies and procedures for efficiency.
  • Contract Management

    • Oversee and monitor contract management, ensuring compliance and performance.
    • Negotiate contracts and terms with vendors and service providers.
  • Facilities Management

    • Ensure maintenance and safety of office premises and facilities.
    • Coordinate repairs and upgrades to maintain a professional office environment.
  • Inventory Management

    • Oversee the stock of office supplies, ensuring availability and cost-effectiveness.
    • Manage relationships with suppliers to optimize procurement processes.
  • Vendor Relations

    • Maintain strong relationships with vendors, including negotiating contracts and pricing.
    • Evaluate vendor performance and identify opportunities for improvement.
  • Communication and Reporting

    • Provide regular updates to senior management on office operations and procurement activities.
    • Collaborate with other departments to align office management strategies with organizational goals



Qualifications

  • 8+ years of experience in Office Management, Procurement, or Facility Management.
  • Working experience in NGO / Public Sector
  • Proven supervisory experience with strong people management skills.
  • Excellent communication skills with the ability to multitask effectively.
  • Friendly and positive demeanor, fostering a welcoming office atmosphere.
  • Proficient in both written and spoken English and Chinese (Cantonese and Mandarin).
  • Strong analytical skills with the ability to make data-driven decisions.
  • Proficient in office management software and tools.
