Requirements

  • Provide daily administrative assistance to the Procurement team for ongoing procurement projects, including matters related to Corporate Services.
  • Maintain procurement documentation, trackers, and filing systems to ensure accuracy, completeness, and readiness for audit, in line with internal policies and procedures.
  • Assist in drafting standard procurement materials-such as RFQ/RFP/Tender packages, approval documents, and formal correspondence-based on established templates and team instructions.
  • Deliver general administrative support to the Procurement team as required.
  • Organize procurement‑related meetings (e.g., tender interviews, RFP discussions) involving Procurement and user departments, including scheduling, preparing agendas, and managing logistics.
  • Record precise and timely meeting minutes, noting key discussions, decisions, action items, responsible parties, and deadlines.
  • Monitor and follow up on assigned action items to ensure smooth progression of procurement activities.
  • Assist in tracking procurement timelines and workflow statuses, highlighting any delays or administrative issues for team attention.
  • Support compliance with Group Procurement Policy by ensuring all required documentation, approvals, and records are properly collected and maintained.
  • Coordinate with user departments to process purchase requisitions and purchase orders through the internal procurement platform.
  • Provide administrative assistance for supplier onboarding, contract documentation, and related filing tasks where necessary.
