Administrative Assistant

Job description

Responsibilites:
  • Handle financial processes such as departmental expense reimbursement, and maintain required records for gifts and entertainment in accordance with Group policies.
  • Support various finance‑related tasks as needed.
  • Coordinate onboarding and offboarding arrangements, and maintain accurate records for review and audit purposes.
  • Provide general office administration to ensure a smooth and well‑managed work environment, including office supplies management, liaising with Facilities Management on office matters, and coordinating with internal teams and vendors for service subscriptions.
  • Organize team events, activities, meetings, and handle communication with internal and external stakeholders.
  • Deliver executive assistance to the Department Head and serve as backup for other executive secretaries during their absence.
  • Provide administrative support to team heads when required.
  • Manage incoming and outgoing communication, including emails, mail, and courier handling.
  • Maintain both physical and digital filing systems, ensuring accuracy and easy retrieval.
  • Assist in preparing reports, presentations, and various documents.
  • Monitor and replenish office supplies to ensure sufficient inventory.
  • Support document handling tasks such as photocopying, scanning, and printing.
  • Foster efficient communication within the Bank.
  • Collaborate closely with other administrative assistants across the organization.
  • Deliver other ad‑hoc administrative support as assigned.

Requirements

  • Diploma holder or above; degree preferred.
  • Solid experience in large organizations; experience in financial services is an advantage.
  • Excellent attention to detail with strong organizational skills; able to work independently and under pressure.
  • Strong written and verbal communication skills in both English and Chinese.
  • Strong interpersonal abilities, with flexibility to adapt to different working styles.
  • Positive mindset with a strong sense of ownership and responsibility.
  • A cooperative team player with high emotional intelligence.
  • Proficient in Microsoft Office applications
