Team Assistant

Job Duties

  • Provide full administrative and secretarial support to senior bankers and deal teams
  • Manage complex calendars, meeting scheduling, video conferences, and room bookings across multiple time zones
  • Handle travel arrangements, visa applications, expense claims, and reimbursement tracking
  • Prepare and format presentations, pitch books, meeting materials, and deal documentation
  • Assist with client meeting logistics, including coordination, materials preparation, and follow‑up actions
  • Maintain and organize confidential documents, deal files, and internal databases
  • Support the team during live transactions, including document control, deadline tracking, and coordination with internal stakeholders
  • Liaise with internal departments such as Compliance, Legal, HR, Finance, IT, and Operations
  • Process invoices, purchase orders, and vendor requests in accordance with internal procedures
  • Support onboarding of new team members (system access, equipment, orientations)
  • Assist with departmental reporting, expense tracking, and ad‑hoc management requests
  • Ensure all administrative processes comply with bank policies and regulatory standards

Requirements

  • Diploma or Bachelor's degree in Business Administration or related discipline
  • 2-5 years of experience as a Team Assistant / Executive Assistant / Secretary, preferably within investment banking, corporate banking, or financial services
  • Prior exposure to IBD, Capital Markets, M&A, or fast‑paced deal environments is highly preferred
