Practice Support Assistant - Reputable International Law Firm

We are partnering with a leading international law firm to hire a Practice Support Assistant for their growing team in Hong Kong. This position delivers critical operational and administrative support to the team and collaborates closely with fee earners and Executive Assistants to ensure seamless day-to-day workflows.

Responsibilities:

  • Coordinate complex diaries, schedule client appointments, and manage intensive international travel itineraries for partners and fee earners.

  • Screen, prioritize, and manage incoming email correspondence and post while establishing efficient electronic filing systems.

  • Organize internal and external meetings, securing room bookings, catering, and technology setups alongside managing business development event logistics.

  • Facilitate the client and matter onboarding process by conducting essential conflict checks and official matter openings.

  • Execute online public searches including company, land, and winding-up searches to support active transactional and dispute matters.

  • Administer the monthly billing cycle through reviewing work-in-progress (WIP), producing draft pre-bills, and managing client payment transfers.

  • Prepare detailed court bundles for the litigation team and maintain rigorous electronic archiving in line with global firm policies.

Requirements:

  • Strong academic background backed by advanced proficiency in the Microsoft Office suite.

  • Proven experience handling administrative operations or transactional support within a professional services environment.

  • Exceptional organizational skills and meticulous attention to detail when managing competing deadlines under pressure.

  • Highly collaborative mindset with the willingness to provide seamless coverage and assistance to fellow team members.

  • Excellent communication and interpersonal skills to interface confidently with internal fee earners and external clients at all levels.

  • Fluency in English is essential; language capabilities in Cantonese or Mandarin are highly advantageous for client liaison.
