Key Responsibilities

Office Operations & Facilities Management

  • Manage overall office operations and ensure a smooth, efficient working environment.
  • Oversee facilities maintenance, office setup, and adherence to facility standards and requirements.
  • Coordinate with vendors and service providers to ensure proper functioning of office facilities.

Team Supervision

  • Supervise the mail room officer, receptionist, and two office support staff.
  • Provide guidance, support, and performance oversight to ensure service quality and professionalism.

Office Renovation & Expansion Project

  • Lead and manage the renovation project.
  • Work closely with architects, contractors, designers, and internal stakeholders.
  • Ensure project milestones, timelines, budgets, and standards are met.
  • Contribute facility-related knowledge (e.g., layout planning, workspace requirements) without requiring hands‑on technical work.

Stakeholder & HR Reporting

  • Collaborate closely with the HR team and report project and operational updates.
  • Maintain strong relationships with cross-functional teams, leadership, and external partners.
  • Act as a reliable point of contact for all office operation matters.

Requirements

  • Proven experience managing office relocation and renovation projects spanning at least two floors.
  • Strong stakeholder management skills with the ability to navigate diverse internal and external partners.
  • Practical, hands-on, and logical approach to problem-solving and daily operations.
  • Solid understanding of facilities requirements, standards, and office setup needs.
  • Proactive, organized, and able to manage multiple tasks and priorities.
  • Strong attention to detail and commitment to operational excellence.
  • Effective communicator with the ability to collaborate across all levels.
  • Fluent in English (spoken and written).
