Executive Assistant

Key Responsibilities

  • Oversee complex calendar management, schedule critical meetings, and coordinate high-quality logistics for engagements involving investment professionals and cross-functional partners

  • Arrange both domestic and international travel, prepare comprehensive itineraries, and ensure accurate and timely expense submissions to support smooth business travel

  • Organize and deliver team activities, training programmes, and internal events, managing end-to-end logistics and liaising with vendors to ensure seamless execution

  • Enhance operational efficiency for the team across APAC region by designing and implementing scalable administrative processes that improve productivity and overall effectiveness

  • Collaborate with investment teams as well as Compliance, Finance, Facilities, and Technology functions to support onboarding processes, office operations, and day-to-day administrative needs

  • Proactively identify workflow inefficiencies and develop practical solutions or tools to optimise processes and enhance service delivery


Requirements

  • Bachelor's degree or equivalent practical experience in a relevant discipline

  • Minimum of 3 years' experience in administrative support, including at least 1 year supporting investment professionals, operations teams, or other client-facing groups within financial or professional services environments

  • Fluency in both English and Mandarin

  • Proven experience managing complex schedules, travel coordination, and expense reporting for multiple stakeholders

  • Strong track record in organising meetings and events with external parties, including scheduling, vendor management, and logistics coordination
