Admin Officer

Job Responsibilities

  • Provide full spectrum of administrative support to ensure smooth daily office operations
  • Assist in procurement processes, including vendor sourcing, quotation comparison, purchase order processing, and vendor performance monitoring
  • Maintain and update the fixed assets register, conduct periodic inventory checks, and ensure proper asset tracking and control
  • Support facilities management, including office maintenance, space planning, renovation projects, and coordination with contractors and service providers
  • Assist in office setup, relocation, and renovation projects, ensuring timelines and budgets are met
  • Prepare regular reports, data analysis, and documentation to support management decision-making
  • Handle general office administration tasks such as filing, document management, meeting coordination, and correspondence
  • Liaise with internal stakeholders and external vendors to ensure efficient communication and project execution
  • Assist in budgeting, cost tracking, and invoice processing related to administrative and facilities expenses
  • Manage office supplies inventory and ensure timely replenishment
  • Coordinate company events, meetings, and logistics arrangements
  • Perform ad-hoc assignments and projects as assigned by management

Job Requirements

  • Minimum 2 years of relevant experience in office administration or administrative support
  • Proven experience in supporting projects and working in a project-based environment is an advantage
  • Familiarity with procurement processes, facilities management, and office operations is preferred
  • Proficient in MS Office applications (Word, Excel, PowerPoint) and Chinese Word Processing
  • Good command of both written and spoken English and Chinese (Cantonese and Mandarin)
  • Immediate availability is highly preferred
